Sr. Staff Accountant/Office Manager – Full-Time, Stockton, CA
 
Position Summary 
The Sr. Staff Accountant is responsible for assisting with the preparation and analysis of financial statements, maintaining accurate financial records, and ensuring compliance with accounting principles and regulations. This role involves supporting month-end close processes, reconciling accounts, and preparing journal entries. The Staff Accountant will collaborate with cross-functional teams to provide financial insights and support budgeting and forecasting activities. Strong attention to detail, analytical skills, and proficiency in accounting software are essential for success in this position. In addition, this position will perform Office Manager duties and will oversee day-to-day operations by conducting key activities necessary for the smooth operation of the TimberQuest’s Plant facility.  This role requires excellent organizational skills and the ability to manage multiple tasks efficiently.  The Office Manager will build relationships with all staff and outside vendors ensuring services, equipment, and the environment required for the Plant is maintained with operational efficiency and excellence.
 
Responsibilities: 
  • Manage payroll activities for production workers which includes timely submission of timecards to ensure timely weekly payment
  • Ensure all Accounts Payable invoices and credit card expense reports are processed/paid on time
  • Act as a gatekeeper for the company in safeguarding the company’s assets and ensure
  • compliance with corporate financial and risk processes
  • Perform daily transaction processing: Accounts Payable including credit card transactions Accounts Receivable billings and General ledger entries
  • Track lien waivers, retention payments, vendor/subcontractor inquiries
  • Track and prepare Sales and Use Tax returns/filings
  • Responsible for following up on past due accounts receivable
  • Be responsible for bank reconciliations, cash management tracking and reconciliation
  • Reconcile balance sheet and income statement accounts monthly
  • Perform month end closing procedures
  • Assist with monthly, quarterly, and annual reporting
  • Prepare monthly billings
  • Work on special projects and analysis as requested
  • Assist with city/county/state and year end accounting audits
  • Work on process improvement
  • Manage all aspects of the office to ensure a well-organized and positive environment
  • Greet all visitors and assist them accordingly and provide a welcoming reception area
  • Oversee general office operations including facility needs and office equipment.  Interface with XL Industries IT support as required to keep the office and personnel connected and productive
  • Creates and administers budgets for supplies, equipment, and contract services. Identifies opportunities for cost savings, better efficiencies, and other improvements
  • Purchase office supplies and equipment and maintain proper inventory levels
  • Manage contract and price negotiations with office vendors and service providers
  • Manage calendars for plant salaried staff and coordinate their schedules
  • Call to schedule appointments and interviews
  • Onboard new hires in coordination with XLI People (HR) Department
  • Ensure the office is maintained and kept in an orderly and professional manner.  Contract cleaning service as required to ensure the office, kitchen, and restrooms are cleaned and maintained
  • Ensure compliance with company policies and procedures
  • Maintain confidentiality of sensitive information
  • Work with City inspectors and Landlord to ensure the property and facility meet environmental, health, and security standards and comply with regulations 
  • Support the implementation of health and safety policies and procedures
  • Assist with regulatory compliance and audits 
  • Organize special events as needed 
     
    Knowledge, Skills and Abilities:
    • Bachelor’s degree in accounting, finance or business or equivalent training / experience in accounting
    • 5+ years of relevant accounting experience
    • Experience, 2+ years in a manufacturing environment 
    • Ability to work independently and be inquisitive 
    • Strong problem-solving skills 
    • Ability to maintain a high level of professionalism, integrity, and confidentiality 
    • Proficiency in Microsoft Office Suite applications, including Excel, Word, and Outlook. Viewpoint and Prophix experience preferred
    • Self-starter with attention to detail and a proactive approach
